Please read this policy carefully before purchasing our services. By purchasing or booking our services, you acknowledge that you have read, understood, and agree to this Refund Policy.
1. Overview
Due to the personalized nature of our coaching services and the time and resources invested in preparing for each client engagement, our refund policy varies depending on:
- Type of service purchased (single session, package, program)
- Timing of cancellation request
- Reason for cancellation
- Amount of service already delivered
- Circumstances surrounding the cancellation
IMPORTANT: All refund requests must be submitted in writing to our customer service team. Verbal requests or requests made through informal channels will not be processed.
2. Initial Consultation
2.1 Free Consultation
Initial consultations offered at no charge are non-refundable as no payment is collected. Cancellation or rescheduling of free consultations must be requested at least 24 hours in advance.
2.2 Paid Consultation
If you purchase a paid initial consultation:
- More than 48 hours before scheduled time: Full refund available
- 24-48 hours before scheduled time: 50% refund available
- Less than 24 hours before scheduled time: No refund available
- After consultation has occurred: No refund available
3. Single Coaching Session Refunds
For individual coaching sessions purchased separately (not as part of a package):

3.1 Rescheduling Option
Instead of cancellation, you may reschedule single sessions:
- First reschedule: No fee if requested at least 48 hours in advance
- Second reschedule: Administrative fee may apply
- Third reschedule: Session may be forfeited or additional fees charged
4. Coaching Package Refunds
Coaching packages (multi-session programs) have different refund terms than single sessions:
4.1 Before First Session
If you request a refund before any coaching sessions have occurred:
- Within 7 days of purchase and before first scheduled session: Full refund minus 10% administrative fee
- More than 7 days after purchase but before first session: 75% refund
- Within 48 hours of first scheduled session: 50% refund
4.2 After Program Has Started
Once coaching sessions have begun, refunds are calculated based on unused sessions:
- Formula: (Total Package Price ÷ Number of Sessions) × Remaining Sessions - Administrative Fee
- Administrative Fee: 20% of the refund amount
- Minimum retention: Payment for completed sessions plus one additional session
4.3 Package Refund Example
If you purchased a 10-session package for ¥100,000 and completed 3 sessions:
- Per-session value: ¥100,000 ÷ 10 = ¥10,000
- Completed sessions: 3 × ¥10,000 = ¥30,000 (non-refundable)
- Remaining sessions: 7 × ¥10,000 = ¥70,000
- Administrative fee (20%): ¥14,000
- Refund amount: ¥56,000
4.4 Package Expiration
Coaching packages typically have expiration dates. After expiration:
- No refunds are available for expired packages
- Extensions may be available for a fee
- Unused sessions are forfeited after expiration
5. Special Programs and Workshops
5.1 Group Workshops
For group workshops and training sessions:
- More than 30 days before event: Full refund minus ¥5,000 processing fee
- 15-30 days before event: 50% refund
- Less than 15 days before event: No refund (credit for future event may be offered)
- Transferability: Registration may be transferred to another person up to 7 days before event
5.2 Intensive Programs
For comprehensive or intensive coaching programs:
- Specific refund terms will be outlined in your program agreement
- Typically, no refunds after program commencement
- Payment plans may be discontinued but no refunds for completed portions
6. Circumstances Warranting Full or Partial Refunds
6.1 Service Quality Issues
If you experience service quality issues, we will:
- Investigate your concerns promptly and thoroughly
- Offer to remedy the situation with additional coaching or alternative solutions
- Provide partial or full refund if we cannot resolve the issue satisfactorily
- Require specific documentation of quality concerns
6.2 Coach Unavailability
If your assigned coach becomes unavailable due to unforeseen circumstances:
- We will assign a qualified replacement coach
- If no suitable replacement is available, full refund will be provided
- Completed sessions remain non-refundable
6.3 Medical or Emergency Situations
In cases of serious illness, family emergency, or other extenuating circumstances:
- Documentation may be required (medical certificate, etc.)
- We will work with you to reschedule or provide appropriate credit
- Partial refunds may be considered on a case-by-case basis
- Request must be made within 14 days of the circumstance
7. Non-Refundable Items and Services
The following are non-refundable under all circumstances:
- Downloadable digital materials once accessed
- Recorded session videos once delivered
- Custom-prepared materials or resources
- Administrative and processing fees
- Third-party service fees (payment processing, etc.)
- Completed coaching sessions
- No-show sessions (sessions missed without notice)
8. Refund Request Process
8.1 How to Request a Refund
To request a refund, you must:
- Submit written request: Email us at refunds@quantalytiq.pro
- Include required information:
- Full name and contact information
- Service purchased and purchase date
- Order or invoice number
- Detailed reason for refund request
- Supporting documentation (if applicable)
- Response timeline: We will respond within 5 business days
- Resolution timeline: Approved refunds processed within 10-14 business days
8.2 Refund Method
Approved refunds will be processed using the original payment method:
- Credit card refunds: 5-10 business days to appear on statement
- Bank transfer refunds: 3-7 business days
- Other payment methods: According to provider's timeline
8.3 Refund Verification
We reserve the right to:
- Verify the legitimacy of refund requests
- Request additional documentation or information
- Conduct internal review of service delivery
- Contact you for clarification before processing
9. Disputed Charges and Chargebacks
9.1 Contact Us First
Before initiating a chargeback or dispute with your financial institution:
- Contact us directly to resolve the issue
- Most concerns can be resolved quickly through direct communication
- Chargebacks may result in service suspension and additional fees
9.2 Chargeback Consequences
If you initiate a chargeback:
- Your access to services will be suspended pending resolution
- We will provide evidence to your financial institution
- Unjustified chargebacks may result in permanent service ban
- You may be liable for chargeback fees and legal costs
10. Credit and Vouchers
10.1 Service Credits
In lieu of refunds, we may offer service credits:
- Credits have no cash value
- Must be used within 12 months of issuance
- Can be applied to any of our services
- Are non-transferable unless specifically stated
10.2 Promotional Vouchers
If you used a promotional code or discount:
- Refund amount is based on actual amount paid
- Promotional value is not refundable
- Voucher credits cannot be reinstated after use
11. Right to Modify Services
We reserve the right to:
- Modify service delivery methods (e.g., switch to virtual format)
- Change session duration with appropriate notice
- Reassign coaches when necessary
- Discontinue specific programs with adequate notice
In cases of significant service changes, we will:
- Notify you at least 14 days in advance
- Offer reasonable alternatives
- Provide option for refund if changes are unacceptable to you
12. Payment Plan Cancellations
If you are on a payment plan:
- You remain obligated for completed sessions
- Future payments may be cancelled for undelivered sessions
- Early termination may incur additional fees as specified in your agreement
- Partial refunds calculated based on payments made versus services delivered
13. Gift Certificates and Gift Purchases
For services purchased as gifts:
- Purchaser must request any refunds
- Standard refund policies apply
- Unused gift certificates may be refundable within 30 days of purchase
- Once activated by recipient, standard session refund policies apply
14. Satisfaction Guarantee
We stand behind the quality of our services. If you are not satisfied after your first session of a multi-session package:
- Contact us within 48 hours of the session
- Explain specific concerns about service quality
- We will work to address concerns or offer alternative solutions
- If unresolved, refund for remaining sessions may be provided
NOTE: This satisfaction guarantee applies only to the first session of packages and does not apply to single-session purchases or after multiple sessions have been completed.
15. Force Majeure
In cases of circumstances beyond our reasonable control (natural disasters, pandemics, government restrictions, etc.):
- We will make reasonable efforts to reschedule or provide alternative delivery
- Refunds may be provided if alternative arrangements cannot be made
- Service credits or rescheduling options will be prioritized over refunds
- Partial refunds may be offered based on services actually delivered
16. Exceptions and Special Circumstances
We understand that unique situations may arise. While we adhere to this policy, we will consider:
- Extraordinary personal circumstances
- Long-term client relationships
- Specific hardship situations
- Service delivery problems on our part
Exceptions to this policy are at our sole discretion and do not set precedent for future requests.
17. Tax and Accounting
Please note:
- Refunds may affect tax deductions you have claimed
- Consult your tax advisor regarding refunded business expenses
- We provide refund documentation for your records
- Refund amounts may differ from original payment due to exchange rates or fees
